Initially contact management (CM) software was essentially address book software. Its primary purpose was to organize your telephone book of contacts and maintain calendar functions such as your ‘to do’ list, appointments for the day and send automatic reminders. It works fairly well for domestic users and small enterprises. However, as big business enterprises require more advanced features CM software evolved into a sophisticated business solution.
During the early days of the concept, electronic CM was possible only through installing the relevant software in the personal computer. But when Microsoft launched its Outlook with the basic features of CM software the demand for the product came down for a while during the late nineties.
In order to upgrade their technology and to meet the growing demands of businesses, CM software providing companies have come out with more sophisticated software called Customer Relationship Management (CRM) software. Also, web-based applications came into picture to provide anywhere, anytime access to remote users. If you need to maintain only basic records of the contacts just Outlook or simple address book software might serve the purpose. But, better go for sophisticated products with advanced features if you want an aggressive marketing tool that can build business on a large scale.
Choosing the right software involves more than comparing the features of the products. If your work strictly from office you should opt for the traditional method of installing software, known as desktop CM software. Anybody with a password can access the CM database. If you are connected to a network, you can share your data with everyone else on your network without a new server or any other additional hardware. If you tend to work away from office too, web-based application is the best. Even the web services are password protected and there’s no need to worry about information falling into wrong hands.
In either case, various industry-specific packages custom-made for a particular line of business such as banking, FMCG, real estate, automobile etc. are available. Again, the customized software provides separate features for customer care, marketing, sales processing, accounting management, ERP etc. They can be integrated with address book and calendar functions.
The software can be downloaded freely on a trial basis. You can buy after confirming the particular software truly works for your business. Most of the packages are compatible with Windows and Macintosh. ACT!, GoldMine, Maximizer, and TeleMagic are some of the big names in CM software. If you are a very big enterprise you can design and build your own CM software.
